UPA Registration FAQ

UPA ROSTERING  Easterns and the Invitational are UPA sanctioned, meaning every player must have a waiver on file and either join the UPA or pay a $10 one-time event fee.  Additionally, captains will be required to login to the UPA site and create a roster for their team.

UPA CAPTAINS SIGNUP
Login here:  http://upa.org/useractivities
-click "Online Rostering"
-click "Create a New Roster"
-read the instructions, click "Continue with Roster creation"
-click "Sanctioned Event"
-select "2008 Mixed & Masters Easterns" or "2008 Boston Invitational"
-read, check to agree, and click "continue"
-enter your team name, state, and city, and you're ready to add players, etc.
[NOTE: You do not have to "submit" by clicking your roster every time, but it doesn't hurt if you
do, you can resubmit as often as you like]

Once your players have signed up for a UPA account and given you their UPA number you should be able to find them relatively easily in the UPA database.

GETTING YOUR PLAYERS CURRENT:
Players have (4) options for getting their membership status and waivers in order. Much of this info comes from here:  http://www.upa.org/outreach/sanctioning/teamregistration#playerreg

1) They are current UPA members, but have not signed a waiver. Please note that the UPA does not accept waivers by fax or via on-line submission.  In this case, the player should download a waiver form and mail it in. http://www.upa.org/files/2008Waiver.pdf

2) They are not current UPA members and want to register on-line. They should go here: http://www.upa.org/membership AND download and mail in their waiver as in 1) above.

3) They are not current UPA members and wish to join the UPA by mail and submit their waiver by mail.  They should use this form:  http://www.upa.org/files/2008MembershipWaiverForm.pdf

4) They wish to pay the One-Time Event fee and submit their waiver by mail.  They should use this form:  http://www.upa.org/files/2008EventFee&WaiverForm.pdf

Do not send registration materials to the UPA with less than a week before the event; instead your players must submit the form and payment to tournament HQ before the start of play Saturday.
[NOTE:  Players may create a free online UPA account with only an email address, and get a UPA ID even without paying for annual membership.  However there is no online payment option for the one-time fee yet, it must still be mailed or handed in at event.]  https://www.upa.org/members/create_account.php

SUBMITTING YOUR ROSTERS:
A roster can be submitted anytime and captains may still add or remove players (simply resubmit after making changes).  We receive a roster report 24 hours before the start of the event; therefore the UPA recommends that you submit your rosters 3 days in advance of the event to ensure that all your materials are up to date for the roster report. This will allow time for both you and the UPA to update any information that might need to be completed before the roster report in generated.

Any information that does not make it onto the roster report (this might be due to the lag time in processing memberships, waivers in the mail, late adds to the roster, etc) will need to be dealt with at registration.  So, for example, if you add a player just before the event, but that player does not make it onto the roster report, that player will either need to a) pay their UPA membership fee, or b) provide proof that they are a UPA member(UPA Card and/or receipt). If that player is a UPA member, but is not able to provide proof, they will need to pay the UPA membership fee and then get reimbursed by the UPA .  Please do not give the registration folks a hard time about this on Saturday.  The path of least resistance is to get the materials into the UPA as early as possible.

REGISTERING AT THE EVENT:
Please be prepared to reconcile all outstanding UPA membership dues at the time of the registration.  Please note that we will accept checks made out to the "UPA" ONLY. NO CASH PLEASE.
